Terms of Use

Please read these terms carefully before using our website or engaging Vivaah India for wedding planning services.

Last updated: 1 October 2026

1. Acceptance of Terms

By accessing or using the Vivaah India website (weddingplannerconference.com) or by engaging Vivaah India for wedding planning services, you agree to be bound by these Terms of Use and our Privacy Policy. If you do not agree to these terms, please do not use our website or services.

These terms apply to all visitors, enquirers, and clients of Vivaah India. References to "you" or "client" refer to the individual or couple engaging our services.

2. Nature of Our Services

Vivaah India provides luxury destination wedding planning and coordination services for NRI couples and families planning weddings in India. Our services may include, but are not limited to:

  • Venue research, shortlisting, and booking coordination
  • Vendor sourcing and management (photographers, decorators, caterers, entertainment)
  • Guest management and travel coordination
  • Bridal styling consultation and vendor introductions
  • On-ground coordination and event management
  • Budget planning and financial oversight

The specific scope of services for each client is defined in a separate Service Agreement or Letter of Engagement signed by both parties. These Terms of Use govern your use of our website and general engagement with Vivaah India; the Service Agreement governs the specific terms of your wedding planning engagement.

3. Enquiries and Consultations

Submitting an enquiry through our contact form or requesting a consultation does not constitute a binding agreement or guarantee of service availability. Vivaah India reserves the right to decline any enquiry or engagement at its sole discretion.

Information shared during initial consultations is treated as confidential and used solely to assess your requirements and provide relevant guidance. Consultations are complimentary and do not create any obligation on either party.

4. Booking and Engagement

A formal engagement with Vivaah India is established only upon:

  • (a) Execution of a written Service Agreement or Letter of Engagement signed by both parties; and
  • (b) Receipt of the agreed retainer or booking deposit as specified in the Service Agreement.

Booking deposit: A non-refundable retainer (typically 20–30% of the total planning fee, as specified in your Service Agreement) is required to secure your wedding date and commence planning. This retainer compensates Vivaah India for the time and resources committed to your wedding from the date of engagement.

Payment schedule: The balance of planning fees and vendor payments are due as specified in your Service Agreement. Late payments may result in suspension of services and, in cases of significant delay, termination of the engagement.

Venue and vendor deposits: Deposits paid directly to venues and vendors are subject to those parties' own cancellation and refund policies, which are separate from Vivaah India's fees.

5. Cancellation and Postponement

Cancellation by client: If you cancel your wedding or your engagement with Vivaah India, the following applies:

  • The initial retainer is non-refundable in all circumstances
  • Cancellations made more than 12 months before the wedding date: 50% of remaining planning fees are due
  • Cancellations made 6–12 months before the wedding date: 75% of remaining planning fees are due
  • Cancellations made less than 6 months before the wedding date: 100% of remaining planning fees are due
  • All vendor and venue deposits paid on your behalf are subject to those parties' own cancellation terms

Postponement: If you postpone your wedding date, Vivaah India will make reasonable efforts to accommodate the new date. A postponement fee may apply to cover re-booking costs and additional planning time. Postponements are subject to availability of Vivaah India's team and your chosen vendors.

Cancellation by Vivaah India: In the unlikely event that Vivaah India must cancel your engagement due to circumstances beyond our control, we will refund all planning fees paid (excluding the initial retainer) and assist in transitioning your bookings to an alternative planner where possible.

6. Scope of Services and Limitations

Vivaah India acts as a coordinator and facilitator between you and third-party vendors and venues. While we exercise professional care in selecting and managing vendors, the following limitations apply:

Vendor performance: Vivaah India is not responsible for the acts, omissions, quality of work, or failure to perform of any third-party vendor or venue, including but not limited to photographers, caterers, decorators, entertainers, hotels, and transportation providers. We will, however, use reasonable efforts to address any vendor issues that arise.

Force majeure: Vivaah India is not liable for delays, cancellations, or failures caused by circumstances beyond our reasonable control, including natural disasters, civil unrest, government restrictions, pandemics, extreme weather, or acts of God. In such circumstances, we will work with you to find alternative solutions.

Travel and logistics: Vivaah India may assist with travel coordination for you and your guests but is not a licensed travel agent. Any travel bookings made on your behalf are subject to the terms and conditions of the relevant airlines, hotels, and transport providers.

Regulatory compliance: Vivaah India will advise on general requirements for weddings in India but is not responsible for ensuring compliance with all legal, religious, or ceremonial requirements specific to your circumstances. We recommend consulting a legal advisor for matters relating to marriage registration and documentation.

7. Client Responsibilities

To enable Vivaah India to deliver the best possible service, you agree to:

  • Provide accurate and complete information about your requirements, preferences, and budget
  • Respond to communications and requests for approvals in a timely manner (typically within 48–72 hours for time-sensitive decisions)
  • Make payments as per the agreed schedule in your Service Agreement
  • Inform Vivaah India promptly of any changes to your guest list, budget, or requirements
  • Treat Vivaah India's team and all vendors with respect and professionalism
  • Obtain all necessary documentation for your wedding ceremony (marriage registration, religious permissions, etc.) as advised

Delays caused by late approvals, incomplete information, or late payments may affect the quality and availability of services and vendors, for which Vivaah India accepts no liability.

8. Intellectual Property

All content on the Vivaah India website — including text, images, graphics, logos, and design — is the property of Vivaah India or its licensors and is protected by applicable intellectual property laws.

You may not reproduce, distribute, modify, or use any content from this website for commercial purposes without our prior written consent. Personal, non-commercial use (such as saving an image for your own reference) is permitted.

Photography and media: Wedding photographs and videos produced by vendors engaged through Vivaah India are owned by the respective photographers/videographers and subject to their licensing terms. Vivaah India may request permission to use wedding images for portfolio and marketing purposes; this will always be subject to your explicit consent.

9. Confidentiality

Vivaah India treats all client information — including wedding details, budgets, family dynamics, and personal preferences — as strictly confidential. We will not disclose your personal or wedding information to any party other than vendors and venues directly involved in your wedding, without your consent.

We may reference your wedding in our portfolio (e.g., "a palace wedding in Udaipur for an NRI couple from London") without identifying details, unless you have provided explicit consent for named attribution.

10. Limitation of Liability

To the fullest extent permitted by applicable law:

  • Vivaah India's total liability to you for any claim arising from our services shall not exceed the total planning fees paid by you to Vivaah India under your Service Agreement
  • Vivaah India is not liable for any indirect, consequential, special, or punitive damages, including loss of enjoyment, emotional distress, or reputational harm
  • Vivaah India is not liable for losses arising from vendor failure, venue cancellation, force majeure events, or circumstances outside our reasonable control

Nothing in these terms limits liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be excluded by law.

11. Website Use

You agree to use the Vivaah India website only for lawful purposes and in a manner that does not infringe the rights of others. You must not:

  • Use the website to transmit unsolicited commercial communications
  • Attempt to gain unauthorised access to any part of the website or its systems
  • Upload or transmit any malicious code, viruses, or harmful content
  • Scrape, copy, or reproduce website content for commercial use without permission

Vivaah India reserves the right to suspend or terminate access to the website for any user who violates these terms.

12. Third-Party Links

Our website may contain links to third-party websites, including venue websites, vendor portfolios, and travel resources. These links are provided for your convenience only. Vivaah India does not endorse, control, or accept responsibility for the content, privacy practices, or terms of any third-party website. We encourage you to review the terms and privacy policies of any third-party site you visit.

13. Governing Law and Disputes

These Terms of Use and any dispute arising from your use of our website or engagement with Vivaah India are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of Rajasthan, India.

Before initiating any formal legal proceedings, both parties agree to attempt to resolve any dispute through good-faith negotiation. If negotiation fails, disputes may be referred to mediation before litigation.
