15 Questions Every NRI Couple Must Ask Before Hiring a Wedding Planner in India

Akshat Purohit·

Choosing the right wedding planner is the most important decision you will make for your Indian destination wedding. Here are the 15 questions that separate the excellent planners from the rest — from Akshat Purohit, Vivaah India, Jaipur.

I have been planning luxury destination weddings from Jaipur for over 18 years. In that time, I have spoken with hundreds of NRI couples who came to us after a difficult experience with another planner — couples who had paid large deposits, received poor service, and found themselves managing their own wedding from abroad because their planner was not delivering.

The difference between a great wedding planner and a disappointing one is not always obvious from a website or an Instagram feed. It becomes clear in the details — in how they answer your questions, how they handle difficult conversations, and how they behave when something goes wrong.

These are the 15 questions I would ask if I were hiring a wedding planner for my own NRI wedding in India.

1. How many NRI weddings have you planned, and can I speak with three recent NRI clients?

This is the most important question. Planning a wedding for an NRI couple is fundamentally different from planning for a local couple. The communication challenges, the time zone management, the international guest logistics, the legal requirements — all of these require specific experience.

Ask for references from NRI clients specifically, not just any past clients. Then actually call those references. Ask them: Was the planner responsive across time zones? Did they deliver what they promised? How did they handle problems? Would you hire them again?

2. What is your fee structure, and do you receive commissions from vendors?

This question reveals a great deal about a planner's integrity. Many planners in India operate on a commission model — they receive a percentage from every vendor they recommend. This creates a conflict of interest: the planner may recommend vendors who pay the highest commission, not the vendors who are best for your wedding.

The best planners charge a transparent fee — either a fixed amount or a percentage of your total budget — and do not receive vendor commissions. At Vivaah India, we work exclusively for our clients. We do not accept commissions from any vendor.

3. Who will actually be managing my wedding day — you, or a junior team member?

Many established planners sell you on their personal involvement, then hand the actual execution to a junior coordinator. This is not necessarily wrong — a good team can deliver excellent results — but you deserve to know who will be on the ground on your wedding day.

Ask specifically: Will you personally be present throughout the wedding? If not, who will be, and what is their experience level? Can I meet them before the wedding?

4. How do you handle communication with NRI clients across time zones?

A planner who is not set up for international communication will frustrate you. Ask specifically:

- What is your preferred communication channel (WhatsApp, email, video call)?

- How quickly do you typically respond to messages?

- Do you offer scheduled video calls, and how frequently?

- Do you have a shared planning document or portal where I can track progress?

The answer will tell you a great deal about how the relationship will work in practice.

5. Have you worked at my specific venue before?

A planner who knows your venue is worth significantly more than one who does not. They will know the best ceremony spots, the lighting at different times of day, the quirks of the kitchen, the reliable and unreliable vendors the venue recommends, and the staff members who are most helpful.

If they have not worked at your venue, ask how they plan to familiarise themselves with it before your wedding.

6. What happens if a key vendor cancels close to the wedding?

This is a test of contingency planning. Every experienced planner has had a vendor cancel — a photographer who fell ill, a caterer who double-booked, a décor team that had a family emergency. How they handled it reveals their professionalism.

Ask specifically: Do you maintain backup vendor relationships for key categories? Can you give me an example of a vendor crisis you have managed and how you resolved it?

7. What is your cancellation and postponement policy?

COVID taught the wedding industry a great deal about the importance of clear cancellation policies. Ask specifically:

- What happens to my deposit if I need to postpone?

- What happens if you need to cancel (illness, emergency)?

- Are there force majeure provisions in your contract?

- How do you handle vendor cancellation fees if the wedding is postponed?

Get the answers in writing, in the contract.

8. How do you manage the budget, and how do you handle budget overruns?

Budget management is one of the most important things a wedding planner does — and one of the most common sources of conflict. Ask specifically:

- How do you track spending against budget?

- Do you provide regular budget updates?

- What happens if a vendor quote comes in higher than expected?

- Have you ever had a client go significantly over budget, and how did you handle it?

A planner who is vague about budget management is a planner who will surprise you with unexpected costs.

9. Can you show me full wedding portfolios — not just highlight images?

Instagram and website portfolios are curated to show the best moments. Ask to see full wedding galleries — hundreds of images from a complete event. This reveals consistency, not just peak moments. It also shows you how the planner handles the less glamorous parts of a wedding: the setup, the transitions, the moments between events.

10. How do you handle family dynamics and conflicting opinions?

NRI weddings often involve complex family dynamics — parents in India with strong opinions, partners from different cultural backgrounds, families who have never met before. A good planner is not just a logistics manager; they are a diplomat.

Ask how they handle situations where the couple and the parents disagree. Ask how they manage conflicting opinions from different family members. The answer will tell you whether they are equipped to navigate the human complexity of your wedding.

11. What is your approach to sustainability and responsible tourism?

This matters increasingly to NRI couples, particularly those based in the UK, Canada, and Australia where environmental consciousness is high. Ask about:

- Waste management at the venue

- Sourcing of flowers and materials (local vs imported)

- Carbon offset options for the event

- Relationships with local artisans and communities

A planner who has thought about this is a planner who thinks carefully about their work.

12. How do you handle the legal and documentation requirements for NRI weddings?

Marriage registration, apostille, visa guidance for international guests — these are areas where NRI couples need specific support. Ask whether the planner handles legal coordination, or whether they refer you to a lawyer. Ask whether they have experience with the specific requirements of your state.

13. What technology do you use to manage the planning process?

Modern wedding planning involves a significant amount of documentation — contracts, budgets, timelines, vendor contacts, guest lists. Ask what tools the planner uses to manage this, and whether you will have access to a shared planning document or portal.

A planner who manages everything via WhatsApp messages and verbal agreements is a planner who will lose track of details.

14. Can you describe your process for the week before and the day of the wedding?

The final week and the wedding day itself are where planning meets execution. Ask specifically:

- When do you arrive at the venue before the wedding?

- How do you brief vendors on the day?

- What is your process for managing the run-of-show?

- How do you handle unexpected problems on the day?

- How many team members will be on-site during the wedding?

15. Why should I choose you over the other planners I am considering?

This is not a trick question — it is an invitation for the planner to articulate their genuine differentiators. A confident, experienced planner will have a clear answer. They will tell you specifically what they do differently, what their clients value most about working with them, and why they are the right fit for your specific wedding.

If the answer is vague or generic, that is information too.

What the Answers Tell You

The best planners will answer these questions with specificity, confidence, and transparency. They will not be defensive about the commission question. They will have concrete examples for the contingency question. They will be able to name specific NRI clients you can call.

The planners to avoid are those who are vague about fees, defensive about references, or who promise everything without specifics.

Frequently Asked Questions

### How many wedding planners should we interview before choosing?

We recommend speaking with at least three planners before making a decision. This gives you a basis for comparison and helps you understand the range of approaches, fees, and personalities in the market.

### Is it a red flag if a planner cannot provide NRI client references?

Yes. If a planner claims to specialise in NRI weddings but cannot provide references from NRI clients who planned from abroad, that is a significant concern. References from local clients are not a substitute.

### What is a reasonable fee for a luxury wedding planner in India?

For a full-service luxury wedding planner in India, expect to pay ₹8L–₹25L, or 8–15% of your total wedding budget. Planners who charge significantly less may be supplementing their income with vendor commissions. Planners who charge significantly more should be able to justify the premium with a track record of extraordinary results.

### Should we sign a contract with our wedding planner?

Absolutely. A detailed contract is non-negotiable. It should cover the scope of services, the fee structure, the payment schedule, the cancellation and postponement policy, and the responsibilities of both parties. Never work with a planner who is reluctant to provide a formal contract.
